Job Summary/Description:
Perform administrative and accounting duties for executive management. Work with the executive team, shared services accounting, and corporate human resources teams to ensure proper communication between station team members and Gray Media.
Duties/Responsibilities include, but are not limited to:
- Work with Shared Services Accounting to ensure the successful application of sound accounting practices at the local station level
- Collect and coordinate the processing of vendor invoices for proper payment through Accounts Payable systems, including G/L account coding
- Communicate with the local sales department and Shared Services Accounting regarding customer invoicing and Accounts Receivable functions
- Log and send locally received payments to Shared Services
- Provide payment Posting Instructions
- Review and approve customer billing
- Process Adjustments, Transfers & Refunds
- Reconcile broadcast logs
- Assist with the calculation of Sales Commissions
- Maintain Petty Cash
- Work with the corporate HR, Benefits, and Payroll departments to ensure the successful implementation of benefit and compensation plans
- Perform new hire onboarding and orientations to outline company benefits, policies, and procedures
- Maintain personnel files and payroll records
- Coordinate bi-weekly payroll processing and payroll changes
- Coordinate the station’s recruiting and Equal Employment Opportunity (EEO) efforts. Publish and document all station employment openings to external agencies
- Maintain documentation and ensure compliance with all recruiting-related reporting requirements of the FCC and regulatory agencies
- In conjunction with designated station personnel, serve as the station’s Safety Coordinator to implement and maintain documentation of required safety programs.
- Effectively communicate with all employees, as well as outside clients and vendors
- Other duties as assigned by the General Manager and Accounting Manager
Qualifications/Requirements:
- 3-5 years of administrative experience
- High school diploma required & 4 year college degree preferred
- Extensive experience with Microsoft Office
- Capable of maintaining highly confidential information in all aspects of the position
- Strong interpersonal skills within all levels of the organization
- High level of organization and prioritizing skills
- Ability to meet strict deadlines
- Basic knowledge of accounting concepts and principles
- Experience in benefits and human resource policy implementation
- Ability to work in a fast-paced, multi-tasking, team-oriented environment
- Strong writing skills and ability to write accurately under constant deadline pressure
- Initiative and ability to self-start/motivate, learn, and react quickly
