JOB DESCRIPTION
We have a great opportunity for someone who thrives in a creative environment to join the Visual Innovation Studio Department as an Assistant. In this exciting position, the Assistant will be specifically supporting the Senior Vice President of the Visual Innovation Studio Department, who oversees visual marketing for FOX Entertainment. Seeking a candidate who is organized, creative, and enthusiastic about design and team building. The Assistant will be part of a large department with over 50 individuals to support and requires superior administrative and communication skills.
A SNAPSHOT OF YOUR RESPONSIBILITIES
- Handle all Scheduling for the Senior Vice President of Visual Innovation Studio, internal Visual Innovation Studio team meetings, and external vendor meetings
- Handle all Senior Vice President and Vice President expense reports
- Handle all new hires, vendors, and freelancers' onboarding
- Handle all poster orders and distribution for Visual Innovation Studio, Affiliates, Publicity, Talent Relations, and Social teams
- Handle all royalty-free and rights-managed stock licensing and tracking
- Handle all purchasing for office supplies
- Handle purchasing and distributing all team meals in the office if needed
- Work with EVP offices to schedule all Visual Innovation Studio team presentations
- Work with vendors on invoicing instructions and guidelines
- Work with the finance team on any necessary chargebacks, both inter-departmental and for payroll
- Book all Senior Vice President and Vice President travel
- Help direct all requests to the correct groups/individuals
- Maintain the department budget tracking document and flash report
- Maintain the team wiki page
- Process all Visual Innovation Studio Department team invoices, submitting on behalf of vendors
- Manage the hardware and software for all new hires/freelancers
- Manage the swapping out of all building 100 posters with building services
- Coordinate all award submissions for the Visual Innovation Studio team
- Aggregate and send out weekly VIS updates to other FE teams
- Run all team morale events and quarterly team meetings, including creating keynote presentations, personally putting on or working with external vendors to put on events (virtual and in person), purchasing and distributing morale gifts
WHAT YOU WILL NEED
- Entertainment assistant/internship experience
- Bachelor’s degree
- Knowledge of Microsoft Office, Keynote
NICE TO HAVE BUT NOT A DEALBREAKER
- Familiarity with Adobe CC (Photoshop and Illustrator)
- Interest in marketing, design, or creative advertising

Pursuant to state and local pay disclosure requirements, the pay rate/range for this role, with final offer amount dependent on education, skills, experience, and location is $23.50-25.00 per hour. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
