The Executive Business Assistant will provide high-level administrative, strategic, and operational support the Co-President, managing multifaceted responsibilities crucial to their and the team's efficiency and success. This role demands a high degree of confidentiality, discretion, proactive problem-solving, and strong business expertise
ESSENTIAL RESPONSIBILITIES:
- Manage complex calendars, appointments, and meetings for executive leadership
- Coordinate travel arrangements, including itineraries and accommodations
- Prepare and draft professional correspondence, reports, and presentations on behalf of the executive
- Act as a key point of contact for internal and external stakeholders, representing the executive with professionalism and discretion
- Handle confidential and sensitive information with the highest level of integrity
- Conduct research and compile data to support decision-making and ongoing projects
- Provide administrative and operational support to the business unit, ensuring smooth day-to-day functioning
- Oversee administrative tasks for the business unit, including but now limited to supply management and assisting with budgets
- Coordinate logistics for internal meetings, offsites, and company events
- Maintain organized filing systems (digital and physical) and ensure accurate documentation
- Serve as a liaison between departments and external partners to facilitate effective communication and collaboration
- Support special projects and ad hoc tasks as directed by executive leadership
KNOWLEDGE/SKILLS/ABILITIES:
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines efficiently
- Excellent written and verbal communication skills for interacting with executives, staff, and external stakeholders
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant productivity tools
- High level of discretion and confidentiality when handling sensitive information and executive communications
- Adaptability and flexibility, including the ability to work varied hours as needed
- Self-motivated and able to work independently with minimal supervision, as well as collaboratively within a team environment
- Proven ability to apply critical thinking and sound judgment to anticipate needs, resolve issues proactively, and make effective decisions
- Project management capabilities, including the ability to track timelines, milestones, and deliverables
- Event planning experience, from coordinating logistics to managing budgets and vendor relationships
- Familiarity with industry-specific software and platforms (e.g., scheduling tools, travel booking platforms)
- Experience in task delegation and workflow coordination, supporting team productivity and project completion
EDUCATION and/or EXPERIENCE
Bachelor’s degree or equivalent experience, often with 5 or more years in a high-level administrative role.
