POSITION SUMMARY
Provides high-level administrative and operational support to the President / Chief Operating Officer (COO), ensuring the efficient execution of BMI’s strategic and operational goals. Acts as the primary point of contact for internal and external stakeholders on all matters pertaining to the President/COO and manages complex workflows, project tracking, and cross-departmental coordination. Utilizes a high degree of independent judgment, discretion in handling confidential information, and anticipates executive needs to optimize leadership effectiveness.
FUNCTIONS OF THE JOB
Essential Functions: which may be representative but not all inclusive of those commonly associated with this position.
- Proactively manages complex calendars and contacts while prioritizing meetings based on business impact and ensuring the COO is prepared with necessary materials. Screens incoming phone calls and correspondence and responds independently when appropriate for the COO.
- Serves as the primary liaison between the COO and internal teams/external partners, prominent affiliates, high level industry contacts - handling inquiries with professionalism and diplomacy.
- Organizes and facilitates, interdepartmental, board, and operational meetings. Draft agendas, take minutes, and follow up on action items. Monitors the conference room schedules and alleviates conflicts that may occur.
- Composes, proofreads, and finalizes complex reports, presentations, and correspondence.
- Arranges detailed domestic and international travel, including logistics and itineraries.
- Processes expense reports, monitors department budgets, and ensures compliance with company policies.
- Maintains strict discretion in handling sensitive company, financial, and personnel information.
- Conducts general administrative duties related to ordering office supplies, equipment repair, shipping, and printing needs.
- Other duties as assigned.
- Regular attendance in person at a BMI office as required by current policy.

POSITION QUALIFICATION REQUIREMENTS
Education: Bachelor’s degree preferred, or equivalent experience.
Experience:5+ years of experience as an Executive Assistant, ideally supporting a C-Suite executive.
Skills and Abilities: representative but not all inclusive of those commonly associated with this position.
- Intermediate to advanced level proficiency in Microsoft Office, including Word, Excel, PowerPoint and Outlook
- Exceptional verbal and written communication skills, with the ability to act as a proxy for the COO.
- Master-level organizational and multitasking skills with high attention to detail.
- Multi-task and prioritize critical projects/information with frequently changing needs.
- Anticipates problems and proposes solutions before they reach the COO.
- Strong interpersonal skills to navigate different levels of the organization.
- Able to thrive in a fast-paced, dynamic, and rapid-growth environment.
- Process-oriented, with the ability to manage project timelines and workflows.
- Highest level of discretion in handling sensitive company information.
SALARY RANGE
The specific base salary offered to a successful applicant will be based on individual qualifications, skills, experience, and education. The pay range is subject to change at any time based on various internal and external factors.The position may also be eligible for one or more performance-based bonuses.
