The Role
We are looking for a professional, discreet and highly organized administrative coordinator who will play a key role in providing administrative and operational support to the News and Information team. The selected individual will contribute to the smooth running of daily operations, including travel, payroll, contracts, invoicing and administrative coordination, while respecting the highest standards of confidentiality. This includes producing a variety of documents and drafting correspondence.
Key Responsibilities
- Support the administrative assistant to the General Manager, News and Information, and the team managers
- Keep administrative data up to date
- Manage supplies, purchase orders (POs) and courier shipments
- Help to organize competitions, internal events and occasional administrative needs
- Collaborate closely with the programming, editorial, operations and broadcast teams
- Make travel arrangements for the reporters and speakers and follow up on reservations
- Oversee managers' expense accounts, allowances and reimbursements
- Perform checks and produce reports in the payroll and vacation management systems
- Monitor attendance, timesheets, invoices and payment of employees and technicians
- Process and monitor payroll
- Create and ensure monitoring of contracts for freelancers, self-employed workers and employees
- Manage changes in terms of new hires, leave days and leavers, in collaboration with the assistant to the General Manager, News and Information
- Coordinate equipment and access management
