How We LEAD
Virgin Music is looking for an Executive Assistant who has superior attention to detail, great organizational skills, the ability to meet tight deadlines and juggle multiple critical requests. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior executives inside and outside the company is important. Must be very efficient and highly attuned to the smallest of details, as well as being able to multi-task and work on tight deadlines in a high-pressure environment is crucial. The ideal candidate will take initiative, identify solutions, and be ten steps ahead of what needs to be done.
How You’ll CREATE
- Day-to-day management of the President, Virgin Music Group – North America & Executive Vice President, Global Artist Relations calendar & schedule, arrange meetings & conference calls.
- Coordinate and prioritize incoming verbal and email requests and support planning of critical internal and external events.
- Book travel, accommodations, transportation, expense reports and other administrative tasks.
- Manage office and time in a fast-paced environment and anticipate critical events/Executive’s needs.
- Maintain supplies and equipment in conference rooms, coordinate reservations, and support on-going maintenance, technology, and vendor relations in these areas.
- Coordinate company events such as office socials, meetings, new hire on-boarding, office reconfiguration and other special events.
- Support various special projects from start to finish including working with others to ensure quality and timely completion.
- Interact with clients, potential clients and vendors and promptly process invoices.
- Regular meeting prep and coordination including food ordering, document prep and organization as directed, occasional meeting coverage and note taking.
- Prepare expense reports and submission of expense claims in a timely manner
- Manage ad hoc projects as needed.
- Uphold a strict level of confidentiality, establish and maintain relationships both internal and external

- Minimum 1-2 years of general administrative and/or office support work experience in a corporate environment
