Job Title: Facilities Manager (Soft Services)
A little bit about our team:
You will be part of a core in-house Facilities team, supporting approximately 800 members of staff across two buildings in West London (Kensington).
Your role:
You will have management responsibilities for the Facilities Coordinator, the inhouse Reception/ front of house and Mail Room team and management of service partner leads i.e Catering and Cleaning.
Here you’ll get to:
You will supervise, train, motivate and appraise the staff in the front of house and mailroom teams, and be pro-active in reviewing their roles on a regular basis.
You are responsible for the management and first point of call of Warner Music’s outsourced service providers, including overseeing the re-tendering process for these services. (Cleaning, Catering, Fire Safety, Events, Planting, Waste & Recycling, DSE and external Health & Safety Auditing).
You will coordinate and record monthly service partner meetings, ensuring service levels/KPI’s are maintained at a high level. Highlighting and escalating failings in service provision when appropriate to the head of the Facilities team.
You will be responsible for the management of any internal events held in our Bar or event-space.
You are responsible for purchase & stock control of consumables i.e. stationery & drinks. Raising supplier purchase orders, checking and coding their invoices; querying incorrect invoices with suppliers and obtaining credit notes where appropriate.
You are responsible for Staff Health & Safety at all sites, including DSE, First Aid, Fire Evacuation safety, New starter Inductions, Expectant Mother Risk Assessments, Building Signage and Notices, and for reviewing and closing-off actions from external audit-reports.
You will lead and implement on environmental/green Facilities related initiatives.
You will forecast budget spend within your areas of responsibility.
About you:
You have at least five-years’ experience within the Facilities environment, including at least two years at Facilities Co-ordinator level or higher.
You have Health & Safety qualifications at IOSHH level or higher.
You will be committed to delivering exceptional customer care.
You have a good knowledge of working with Windows computers, the Microsoft Office Suite, and Google applications.
You have strong managerial experience, and excellent interpersonal & communication skills.
You are proactive and conscientious, with a keen eye for detail.
You have exceptional time-management skills and are able to work under pressure to meet tight deadlines across multiple projects.
We’d love it if you also had:
Two or more years experience in management of Facilities services.
A proactive outlook with regards implementing new ideas and systems to improve both the general workplace environment and the processes we use to achieve our daily tasks.
